Annual Meeting

The Annual Meeting of the Members will be held on Tuesday, May 6, 2025, at 10:00 AM and accessible via live webinar. This webinar will provide Members the opportunity to receive updates on Sea Pines CSA operations and plans for 2025 and beyond. Following the adjournment of the meeting, there will be a live question-and-answer session. Please note that no Member voting will take place during the Annual Meeting.

  • After registering, you will receive a confirmation email with information about joining the webinar.
  • The Zoom webinar platform provides the opportunity for attending property owners to speak directly to the meeting presenters via the “raise your hand” function.

How do I raise my hand to comment or ask a question through the online webinar?

Immediately following the meeting adjournment, there will be a live question and answer session.

  • IF JOINING BY A PC, MAC, iPad, iPhone, or Android Device: If joining by any of these devices listed, please raise your hand with the “raise your hand” function in the Zoom webinar platform, if you have a relevant comment or question.
  • IF JOINING BY PHONE ONLY: If you join the webinar by phone, dial *9 to raise your hand. Note: You can’t use a phone to lower your hand. The webinar administrator will lower your hand after your comment or question has been addressed.
  • Member questions will be addressed in the order they are received based on when the member “raises their hand”.
  • When called upon, you will be acknowledged by name or by the last few digits of your phone number, please state your name and address and you will be given time to speak.

Date of Record

You must be a member in good standing as of the date of record (March 10, 2025) to be included in the proxy mailing for the Annual Meeting on May 6, 2025. Questions related to membership/ standing should be directed to the Sea Pines CSA Finance Department Attention: Tracey McNeill via email at traceym@csaseapines.com.

Proxy Delivery Information

Proxies to establish a quorum for this meeting will be provided to Sea Pines CSA members in good standing as of the March 10, 2025 date of record.

  • Email: For those properties with a primary email address on file with Sea Pines CSA as of the date of record, Emailed electronic proxies will be sent via email on Tuesday, April 1, to the primary email on file with Sea Pines CSA from the email address elections@vote-now.com.
  • By USPS Mail: For those properties without a primary email address on file, the proxy package is being sent via mail through the USPS. To update your primary contact email information with Sea Pines CSA for future communications, please visit our website at seapinesliving.com/contact or call our office at 843.671.1343.
    • Mailed proxies were placed in the USPS mail on April 1, and addressed to the notice of mailing address on file with Sea Pines CSA as of the March 10th date of record. Please allow 3-5 days from the mailing date for USPS mailed delivery.

Establishing a Quorum

Quorum for this meeting will be established by proxy. To ensure the meeting can be held in accordance with the Sea Pines CSA Bylaws, this notice outlines three (3) calls, to achieve quorum, as follows:

  1. First Meeting Call: Tuesday, May 6, 2025, at 10:00 a.m. [Quorum required:  20% of total number of Members.]
  2. Second Meeting Call: Tuesday, May 6, 2025, at 10:05 a.m. [Quorum required: 15% of total number of Members.]
  3. Third Meeting Call: Tuesday, May 6, 2025, at 10:10 a.m. [Quorum required: 10% of total number of Members.]
